The challenge

Haukeland's front desk was the bottleneck. Every booking required three calls, two emails, and a paper intake form. Lifetime value was strong, but acquisition was inconsistent — and growth meant hiring more receptionists, which the clinic didn't want.

What we did

  • Designed an AI intake assistant (Claude-backed) that handles the first 80% of the booking flow — preferences, contraindications, scheduling — entirely in chat.
  • Built a Norwegian-language SEO programme around the procedures with the best margin and fewest competitors.
  • Launched a Meta + Google Search creative system tuned to local intent ("medispa Bergen", "behandling").
  • Wired the whole thing to a clean HubSpot pipeline with automated reminders.

The outcome

  • 2,573% growth in monthly qualified leads, year over year.
  • Front-desk hours saved equivalent to 1.6 FTE.
  • 31% of bookings now come from organic search, up from < 4%.
  • New procedure launches now hit 70% capacity in the first 14 days.
